Using Acumatica with Merlin

Short answer

Merlin works with Acumatica through generic inquiry exports, not a native connector. You build one generic inquiry for items, prices and stock and one for open sales orders, export them to Excel, and upload them to Merlin. If an export scenario publishes the file to a stable link on a schedule, Merlin refreshes from it every 6 hours.

From quote request to finished quote in two minutes.

Nothing goes to a customer until someone on your team approves it. Watch full screen

Faster quotes. More orders. Hours back every week.

Win more orders

Buyers often go with the first solid quote they get. Merlin gets yours out in minutes, day or night, and follows up on the quotes that go quiet.

Get your team's time back

A desk that gets 60 quote requests a week at 15 minutes each spends about 65 hours a month building quotes. Merlin takes most of that routine work off their plate.

Grow without hiring

Handle more requests with the team you already have, in English and French, while good inside-sales people are hard to find.

What does Merlin need from Acumatica?

For the Quote Desk, Merlin needs one row per item: inventory ID (SKU), description, sales unit, unit price, quantity-break prices, lead time and quantity available. Customer-specific prices can be a second inquiry.

For Order Status, it needs sales orders: order number, customer order number (PO), customer email, status, scheduled or actual ship date, ship via and tracking number.

How do you export an Acumatica generic inquiry for Merlin?

Acumatica describes generic inquiries as shareable through export to Excel (with Data and Parameters sheets), Report Designer, dashboards and OData. For Merlin, the Excel export is the simplest start; keep only the Data sheet when you upload.

For a recurring file, Acumatica users describe two routes: an export scenario that writes the inquiry results to a file and is scheduled from the Process Export Scenarios screen (SM207035), or a scheduled notification with an attached report.

  1. Build a generic inquiry returning inventory ID, description, sales unit, price, quantity breaks, lead time and quantity available.
  2. Build a second inquiry on sales orders with order number, customer order number, contact email, status, ship date, ship via and tracking.
  3. Open each inquiry and use Export to Excel for the first load.
  4. For a recurring file, create an export scenario based on the inquiry with a file or FTP destination, then schedule it from Process Export Scenarios (SM207035).
  5. Upload the file to Merlin, or make the scheduled file available at a stable link that Merlin can fetch.

How does the 6-hour refresh work?

Users note that in a SaaS Acumatica instance, an export scenario may not be able to write directly to a local computer, so an FTP or SFTP destination is common. From there the file needs a stable link for Merlin, which pulls it every 6 hours and replaces the previous version.

If that plumbing is not in place yet, a manual Excel export works fine for the pilot. JCube Tech can set up the scheduled path as custom work.

What would a direct Acumatica integration add?

The standard product has no native Acumatica connector and no marketplace listing. A direct integration, built as custom work by JCube Tech, could read prices, availability and shipment tracking through Acumatica's web services or OData more often than every 6 hours, or create approved quotes as sales quotes. It is quoted separately, usually under the Enterprise plan on the pricing page.

Our ERP quote automation guide covers when that extra work pays off.

Frequently asked questions

Is Merlin listed on the Acumatica Marketplace?

No. Merlin has no Acumatica listing, certification or native connector. It imports Excel or CSV exports, and direct integrations are custom work by JCube Tech.

Can Merlin read the Excel export as is?

Yes, as long as the Data sheet has one header row and one row per item. Remove the Parameters sheet or upload only the Data sheet.

Can I use OData instead of files?

Acumatica exposes generic inquiries through OData, but reading it directly is not part of the standard product. JCube Tech can scope that as custom work.

How current will order status be?

As current as the last file: upon each upload, or every 6 hours with a scheduled export at a link.
