Automated quote follow-up that never forgets an open quote
Merlin's Quote Follow-up desk drafts polite follow-up emails on open quotes on the days you choose, by default day 3 and day 7 after the quote is sent. It stops as soon as the customer replies, writes in the customer's language, and a person approves every follow-up before it goes out.

Faster quotes. More orders. Hours back every week.
Win more orders
Buyers often go with the first solid quote they get. Merlin gets yours out in minutes, day or night, and follows up on the quotes that go quiet.
Get your team's time back
A desk that gets 60 quote requests a week at 15 minutes each spends about 65 hours a month building quotes. Merlin takes most of that routine work off their plate.
Grow without hiring
Handle more requests with the team you already have, in English and French, while good inside-sales people are hard to find.
Why do open quotes need follow-up?
A quote that gets no reply is not always a lost deal. The buyer may be waiting on approval, comparing suppliers or simply busy. A short, polite check-in keeps you in the conversation, but on a busy inside sales desk the follow-up is the first task to slip.
Response time matters at every stage. A 2011 Harvard Business Review study of online leads found that firms that contacted leads within an hour were nearly 7 times as likely to qualify them as firms that waited longer. Following up on a schedule applies the same discipline to quotes already sent. Our quote follow-up guide covers timing and wording.
How does it work, step by step?
- A rep approves and sends a quote drafted by the Quote Desk.
- Merlin tracks it as open and schedules follow-ups on your chosen days, day 3 and day 7 by default.
- On each day, it drafts a short, polite follow-up in the language of the original thread.
- If the customer has replied in the meantime, the sequence stops automatically.
- A teammate approves each follow-up before it is sent, and the action is recorded in the audit log.
What will it do, and what won't it do?
| Will | Won't |
|---|---|
| Draft follow-ups on the days you choose | Keep following up after the customer replies |
| Write in English or French to match the thread | Offer discounts or change prices to close a deal |
| Stay short and polite | Send without a human approval |
| Keep the original quote in the thread so the buyer can find it | Pester customers with daily reminders |
What data does it need?
Access to the sales mailbox where quotes are sent, which is Gmail or Google Workspace today, with Microsoft 365 / Outlook coming soon. That is how Merlin knows a quote went out and whether the customer replied. You set the follow-up days and can change the default wording to fit your tone.
How does it help you measure quoting?
Every draft, approval and send is recorded in the audit log, so you have a dated record of when each quote and each follow-up went out. That record makes it easier to track the quote turnaround KPIs worth watching, such as response time and follow-up coverage.
