AI document requests: spec sheets, SDS and certificates, sent on request
Merlin's Documents desk answers customer requests for spec sheets, SDS, certificates of analysis, RoHS and REACH declarations, ISO certificates and warranties by attaching the right file from your document library. A person approves each send, and a send log records who received which document and when.

Faster quotes. More orders. Hours back every week.
Win more orders
Buyers often go with the first solid quote they get. Merlin gets yours out in minutes, day or night, and follows up on the quotes that go quiet.
Get your team's time back
A desk that gets 60 quote requests a week at 15 minutes each spends about 65 hours a month building quotes. Merlin takes most of that routine work off their plate.
Grow without hiring
Handle more requests with the team you already have, in English and French, while good inside-sales people are hard to find.
Why automate document requests?
Customers, buyers and quality teams ask for paperwork constantly: the SDS for a lubricant, the RoHS declaration for a connector, the latest ISO 9001 certificate for a supplier audit. Finding the current version in a shared drive and attaching it is quick for one request and tedious for twenty.
The Documents desk reads those emails, finds the matching file in your library and drafts the reply with the attachment. Your team checks it and sends. It is especially useful for electrical distributors, where certification requests are routine.
Which documents can it send?
- Product spec sheets and technical data sheets
- Safety data sheets (SDS)
- Certificates of analysis
- RoHS and REACH declarations
- ISO certificates
- Warranty documents
Merlin sends only files that are in your library. It does not write, edit or generate compliance documents.
How does it work, step by step?
- You upload your documents to the library and tag each one by product, part number or document type.
- A customer emails asking for a document, for example 'can you send the SDS for part 4471?'.
- Merlin finds the matching file and drafts a reply with it attached, in the customer's language.
- If no file matches, or the request is ambiguous, it flags the email for your team instead of guessing.
- A teammate approves, and the send is written to the send log and the audit log.
What will it do, and what won't it do?
| Will | Won't |
|---|---|
| Attach the matching document from your library | Create or modify a certificate or SDS |
| Keep a send log of who received what, and when | Send a document that isn't in your library |
| Flag requests it can't match to a file | Send anything without a human approval |
| Reply in English or French | Vouch for compliance beyond what your documents state |
Why does the send log matter?
When a customer's auditor asks which revision of a certificate you supplied, or a supplier updates an SDS, you need to know who has the old version. The send log answers that in seconds. Combined with the audit log, Canadian hosting and per-teammate permissions described on the security page, it gives you a clear record of every document that left your company.
Which plan includes Documents?

Frequently asked questions
Does Merlin generate SDS or certificates?
No. It only sends documents you have uploaded to your library. It never writes or alters compliance documents.
What if we have several revisions of the same document?
You keep the current version in the library. The send log shows who received which file and when, so you can follow up if a document changes.
Can it send documents in French?
It replies in the customer's language. If you store French versions of a document in the library, it can attach those.
Which plan includes it?
The Growth plan, at $3,000 CAD per month.
