Using SAP Business One with Merlin

Short answer

Merlin works with SAP Business One through Excel or CSV exports, not a native connector. You export your price list and an open sales order report or query to Excel, save it as CSV if you like, and upload it to Merlin. If your SAP partner can publish that export to a stable link on a schedule, Merlin refreshes from it every 6 hours.

From quote request to finished quote in two minutes.

Nothing goes to a customer until someone on your team approves it. Watch full screen

Faster quotes. More orders. Hours back every week.

Win more orders

Buyers often go with the first solid quote they get. Merlin gets yours out in minutes, day or night, and follows up on the quotes that go quiet.

Get your team's time back

A desk that gets 60 quote requests a week at 15 minutes each spends about 65 hours a month building quotes. Merlin takes most of that routine work off their plate.

Grow without hiring

Handle more requests with the team you already have, in English and French, while good inside-sales people are hard to find.

What does Merlin need from SAP Business One?

For the Quote Desk, Merlin needs one row per item: item number (SKU), description, sales unit of measure, unit price from the relevant price list, quantity-break prices, lead time and stock in warehouse. Special prices for specific customers can be a second file.

For Order Status, it needs open and recently delivered sales orders: document number, customer reference (PO), customer email, status, delivery date, shipping type and tracking number.

How do you export from SAP Business One for Merlin?

SAP Business One can export queries, forms and reports to Microsoft Excel, according to a Vision33 guide for the product. Excel must be configured on the workstation first (Trust Center settings and the Excel path under Administration, System Initialization, General Settings). A price list can be opened from Inventory, Price Lists, Price Lists.

For a clean, repeatable file, many teams use a saved query in the Query Manager that joins items, prices and stock, then export the result. Your partner can write that query in a few minutes. *

  1. Open the price list (Inventory > Price Lists > Price Lists), or run a saved query that returns item number, description, sales UoM, price, quantity breaks, lead time and stock.
  2. Export the result to Microsoft Excel from the toolbar or File menu. *
  3. Run an open sales order query or report with document number, customer reference, contact email, status, delivery date, shipping type and tracking number, and export it the same way.
  4. Optionally save each workbook as CSV.
  5. Upload the files to Merlin, or ask your partner to publish a scheduled export to a stable link.

How does the 6-hour refresh work?

The standard SAP Business One client exports on demand. Scheduled exports usually rely on an add-on, a scheduled report or a small script set up by your partner, so check what your installation supports. *

Once a file is reachable at a stable link, Merlin pulls it every 6 hours and replaces the previous version. Without a link, you upload a new file whenever prices change. Either way, Merlin calculates prices and totals in code from the latest sheet.

What would a direct SAP Business One integration add?

The standard product has no native SAP Business One connector and no SAP partnership. A direct integration, built as custom work by JCube Tech, could read prices, stock and delivery status from SAP Business One more often, or create approved quotes as sales quotations. It is quoted separately, usually under the Enterprise plan on the pricing page.

Many industrial distributors find that exports are enough for the pilot and decide on deeper work afterwards.

Frequently asked questions

Is Merlin an SAP-certified add-on?

No. Merlin has no SAP certification, partnership or native connector. It imports Excel or CSV exports, and direct integrations are custom work by JCube Tech.

Can Merlin use multiple SAP price lists?

Yes. Export the base price list for general quoting and a separate file for customer special prices.

How do volume discounts come across?

Export each quantity break as its own pair of columns (break quantity and price). Merlin picks the right break in code.

Does Merlin need a SQL login to SAP?

Not for the standard import. Merlin only reads the files you upload or publish to a link.
