ERP quote automation with Epicor, NetSuite, SAP Business One and Acumatica

Short answer

You do not need a native ERP connector to automate quotes. If your ERP can export a price list and order report to Excel or CSV, and Epicor, NetSuite, SAP Business One and Acumatica all can, a quote desk can work from that export, and refresh from a scheduled export link every 6 hours. Merlin works this way; it has no native real-time API connector to any ERP, and direct integrations are custom work by its sister company JCube Tech.

Why not just connect directly to the ERP?

A direct, real-time integration sounds ideal, and for some companies it is. But it is also where many automation projects stall: IT has to approve API access, a consultant has to map fields, every ERP customization needs handling, and upgrades can break things. For a 30-person distributor, that can take months before a single quote is drafted.

Quoting does not usually need second-by-second data. Price sheets change weekly or monthly, lead times change a few times a week, and order status changes a few times a day. An export that refreshes several times a day covers most of that, with a fraction of the setup.

It also keeps you independent of any single vendor. If you change ERPs or add a second system, you change the export, not the quoting workflow your team relies on every day.

How does export-based ERP quote automation work?

  1. Build or reuse a report in your ERP with the fields a quote needs: part number, description, unit, quantity breaks, customer-specific prices, lead time, stock.
  2. Export it to Excel or CSV, or have the ERP publish it on a schedule to a link.
  3. Upload the file to Merlin, or give it the link. With a scheduled export link, Merlin refreshes every 6 hours.
  4. Do the same for orders if you use Order Status: an order export with PO, status, ship date, carrier and tracking.
  5. Quotes are priced in code from the latest export, and a rep approves every one.

What does that look like in each ERP?

Each system has its own way of producing a report you can export. The table describes the usual route in general terms; your ERP partner or administrator will know the specifics of your setup.

Worked example: how fresh is the data?

Take an illustrative distributor whose ERP publishes its price and stock report to a link, which Merlin refreshes every 6 hours. That is 24 ÷ 6 = 4 refreshes a day, or 4 × 30 = 120 refreshes in a 30-day month.

The worst case is a change made just after a refresh: it is picked up at most 6 hours later. Say purchasing updates a price at 9:00 and the refreshes run at 6:00, 12:00, 18:00 and 0:00. The new price is live at 12:00, a 3-hour gap. During that window, any draft still goes to a rep for approval, and urgent changes can be uploaded manually right away.

Compare that with how often prices actually change. If list prices change once a month and lead times change twice a week, a 6-hour refresh is more than enough. If your prices change hourly, such as metal surcharges tied to a daily index, that is a sign you may need the custom integration route.

When is a custom ERP integration worth it?

  • You need quotes to become ERP orders automatically, without re-entry.
  • Prices or availability change several times an hour.
  • You run multiple sites with different price books and stock locations.
  • Your IT team already has API access and wants a two-way sync.

Who does the custom work, and what does it cost?

Direct ERP integrations are built by JCube Tech (https://jcubetech.ai), Merlin's sister company, and fall under Merlin's Enterprise plan, which is priced custom. Most distributors start with exports during the pilot and decide later whether a direct integration is worth it, with real usage data in hand.

For the standard product, the one-time setup ranges from $5,000 to $15,000 and is quoted before you commit; see pricing. Specific notes for each system are on the Epicor, NetSuite, SAP Business One and Acumatica pages.

What should your ERP export contain?

The better the export, the fewer lines get flagged. You do not need every field in your ERP, just the ones a quote or a status reply uses. If a column is missing, Merlin cannot invent it: a quote without lead times will be flagged for a rep to fill in.

A short call with whoever maintains your ERP reports is usually enough to build this export. Merlin's setup includes mapping your columns.

Frequently asked questions

Does Merlin have a native Epicor, NetSuite, SAP Business One or Acumatica connector?

No. The standard product imports price sheets and orders from Excel or CSV exports, and refreshes from a scheduled export link every 6 hours. Direct integrations are custom work by JCube Tech.

Will quotes be created in my ERP automatically?

Not in the standard product. Merlin drafts the quote and PDF for rep approval. Writing quotes or orders back into the ERP is part of a custom integration.

What if my ERP cannot publish a scheduled export?

You can upload an Excel or CSV export manually whenever prices change. Many teams do this weekly.

Can I start with a spreadsheet and add the ERP later?

Yes. Many distributors keep a master price sheet in Excel already. Start with that, then switch to an ERP export when it is ready.

Is export-based data safe?

The export holds the same data your reps already use. Merlin is hosted in Canada, never uses your data to train AI models, and logs every draft, approval and send. Owners set per-teammate permissions.
