Order status automation: answering "where's my order?" without tying up a rep

Short answer

Order status automation reads incoming "where's my order?" emails, finds the order in your order data, and drafts a reply with status, ship date, carrier and tracking for a rep to approve. The key safeguard is that answers only go to the customer the order belongs to, matched on email address or company domain. Done right, it turns a five-minute lookup into a few seconds of review.

Why do order status emails eat so much rep time?

Each one is small: open the ERP, search by PO or customer, check the status, find the tracking number in the carrier portal, write a reply. But they arrive all day, interrupt quoting, and often need two or three back-and-forths when the customer gives a PO number that does not match yours.

Worse, they compete with quotes for the same rep's attention. Every minute spent answering "has it shipped?" is a minute an RFQ waits, and buyers expect quotes fast. In a 2020 Paperless Parts survey, 67% of part buyers said they expect a quote within 24 hours.

The questions themselves are predictable. Most are some version of where is it, when will it ship, and can you confirm you received my PO. The answer already sits in your order data; the work is finding it and writing it up. That is the definition of a task worth automating, as long as a person still checks the reply before it goes out.

What questions can be automated?

Customer asksData neededTypical reply
Where's my order?Order status, promised dateStatus and expected ship date
Has it shipped?Ship date, carrier, tracking numberShipped on date X with carrier and tracking
Can you confirm my PO?PO number, order linesConfirmation of PO received with order number and lines
Is my backorder still coming?Line status, backorder dateLines shipped and lines still open with dates
Can I change my order? Not just data, a decisionFlagged for a rep

Anything that needs a decision, like changes, credits or expediting, should go to a person.

Worked example: 150 status emails a week

Take an illustrative distributor that receives 150 order status emails a week. If each takes about 6 minutes to look up and answer, that is 150 × 6 = 900 minutes, or 15 hours a week of inside sales time.

With a drafted reply waiting, review and approval takes about 1 minute: 150 × 1 = 150 minutes, or 2.5 hours. The saving is 15 − 2.5 = 12.5 hours a week. Over 48 working weeks, that is 12.5 × 48 = 600 hours a year.

Those figures are an example; your volume and lookup time will differ. Plug your own into the ROI calculator.

How do you keep order information private?

This is the part to get right. An order status system must never tell one customer about another customer's order, even if someone types a valid PO number. With Merlin's Order Status desk, an answer only goes to the customer the order belongs to, matched on the sender's email address or company domain. If there is no match, the email is flagged for a rep.

Every reply is human-approved, and every draft, approval and send is recorded in the audit log. Data is hosted in Canada and never used to train AI models.

Where does the order data come from?

From an order export, not a live ERP connection. Most ERPs can export open orders with PO, status, ship date, carrier and tracking to Excel or CSV. If yours can publish that export on a schedule to a link, Merlin refreshes it every 6 hours. Orders that change between refreshes are the reason a rep approves each reply before it goes out.

If you need real-time order data written directly from your ERP, that is custom integration work by JCube Tech, Merlin's sister company, under the Enterprise plan.

What else usually comes with it?

Order status emails tend to travel with document requests: "can you send the SDS?", "we need the certificate of analysis for lot 42". The Documents desk sends spec sheets, SDS, certificates of analysis, RoHS, REACH and ISO certificates and warranties from your library, with a log of who received what and when. Both Order Status and Documents are part of the Growth plan. Distributors in electrical supply, for example, often see both types daily; see electrical distribution.

How do you roll out order status automation?

Order status is usually the second desk a distributor turns on, after quoting, because it reuses the same mailbox and approval habits. The rollout is short.

  1. Build an open-orders export with PO, your order number, customer email or domain, status, promised date, ship date, carrier and tracking.
  2. Upload it, or publish it from your ERP to a link that Merlin refreshes every 6 hours.
  3. Check customer matching: make sure each order carries the customer's email address or company domain.
  4. Run in shadow mode: replies are drafted on real emails but nothing can be sent, and reps compare them with what they would have written.
  5. Go live with approval: a rep approves each reply, and anything that needs a decision is flagged.

Do faster status replies change anything for customers?

Yes, mostly in trust. A buyer who gets a tracking number within the hour stops calling, stops copying three people on the next email and is more likely to send you the next RFQ. The reply is also consistent: same format, right language, data straight from your order export.

It also protects quoting. When status emails no longer interrupt the inside sales team every few minutes, quotes get the focused time they need, and response time improves on both sides.

Frequently asked questions

Can an order status reply go out automatically?

Not with Merlin. Every reply is drafted for a rep to approve before it is sent.

What if a customer asks about an order from a different email address?

Merlin matches on the sender's email address or company domain. If the sender does not match the order's customer, the message is flagged for a rep instead of answered.

Does it look up tracking on carrier websites?

It uses the carrier and tracking number in your order export. If tracking is not in the export, the reply cannot include it.

Does it answer in French?

Yes. Merlin replies in the language the customer wrote in, English or French.

Which plan includes Order Status?

Order Status is part of the Growth plan at $3,000 a month (CAD, taxes extra), together with Documents, Quote Desk and Quote Follow-up. See the pricing page for details.
